Lux Visual Storytellers is a photography/videography agency that specializes in capturing weddings in spectacular fashion.
To get their files from their freelancers and too their editors they needed a centralized medium to upload and download files from.
We searched around for their ideal storage medium. Once found we created an integrationg for their airtable system that would automaticly create, share and orginize their files into the dropbox with easy acces out of their system.
Every week lux saves around 10h on avarage looking for their files. Keeping them focussed on more important tasks then searching for files.
Lux faced a major issue with file management and storage. Various freelancers across Flanders used their own methods to submit files, leading to chaos, data loss, and inefficiency. There was no central location where files could be securely and systematically stored, causing both freelancers and editing teams to waste time searching for the right files. Additionally, many files were not properly backed up, resulting in the permanent loss of valuable data. The lack of an automated system led to unnecessary repetitive work and an increased risk of human error. Furthermore, storage costs needed to be kept under control, as the company handled vast amounts of data. The challenge was to find a solution that was not only secure and efficient but also cost-effective and seamlessly integrable with Lux’s existing ERP system.
To address this challenge, a cloud storage service was sought that was both scalable and reliable. After thorough research, Dropbox was chosen due to its capacity, cost-effectiveness, and integration capabilities with the ERP system. Next, an automated system was developed to create project folders and automatically grant the appropriate users access based on their role in the project. This ensured that freelancers, editors, and managers instantly had access to the files relevant to them without requiring manual permission assignments. Integration with the ERP system made it easy to locate files and link them to the correct projects. Additionally, a clear upload strategy was implemented, and the team was trained on how to use Dropbox effectively, ensuring that everyone could efficiently upload and manage files. Through documentation and training sessions, the transition was made smooth, and users were equipped with the necessary knowledge to make the most of the new system.
Thanks to the implementation of Dropbox as a central cloud storage solution, efficiency within Lux improved significantly. Approximately 200TB of photo and video files are now securely collected and managed each year. While previously a lot of time was wasted searching for files, team members can now find them up to three times faster. The system automatically creates around 25 project folders every weekend and shares them with the appropriate people, eliminating the need for manual intervention. Additionally, switching to a single, centralized storage solution has led to a 30% reduction in storage costs, as Lux no longer relies on multiple fragmented storage services. This implementation has ensured that Lux is ready for the future with an efficient, secure, and cost-effective way to manage files.
